The Knowledge and Information Retrieval Problem

How do we find the Knowledge and Information we need to do our jobs or research more effectively? Where do we find the knowledge to improve our organizations? How do we ensure that we don’t “re-invent the wheel” or unknowingly increase risks? Answering these questions successfully depends to a great extent on our ability to access and retrieve our data or organizations’ Institutional Knowledge and Information quickly, accurately, and completely. Infodex can help.

Creating And Collecting Information

We have become experts at generating unstructured information, i.e., non-database, and institutional knowledge and recording it in manuals, reports, contracts, guidelines, protocols, memoranda, presentations, and lessons learned.

We capture our information and institutional knowledge in a myriad of tools and document formats such as Microsoft Office (Word, Excel, PowerPoint, etc), Open and Libre Office and Corel Office (WordPerfect) to name just a few.

The PDF Trap

Today the de facto standard for document publication and distribution is Adobe’s PDF. PDF has become the final resting destination for much of our content. PDF is used everywhere from advertising/marketing, brochures, training manuals, product manuals, office, Legal and Government. By choosing PDF we protect the original source document from getting into the wrong hands, while still being able to deliver a faithful reproduction for others to consume.

The PDF Accuracy Problem

PDF is beautiful to view but is hard to find what you are looking for. PDF archives are so easy to create that they are frequently used to store scanned content created from paper documents or content converted from other file types. They are also often used to store internal documents that have not been reviewed or edited in detail. This creates inaccuracies in the stored knowledge because of misspellings, alternative spellings, typographical errors, OCR conversion errors, and file conversion errors. The result is a less accurate, less complete knowledge set. This causes the results to our queries to be less accurate, less complete and increases the potential for sub-optimum decisions and recommendations.

Finding Information

It doesn’t take long before we need to start finding and referencing the material we have spent so much time and effort creating. Searching one document, i.e., PDF, MS Word, etc. isn’t too difficult – unless it is hundreds or thousands of pages in length. Searching through dozens or hundreds of thousands of documents, especially when buried deep an assembly of nested files and folders is time-consuming, frustrating and effectively impossible.

“The Problem is that retrieving knowledge stored in loose, unstructured documents efficiently, quickly and accurately is difficult.”

The situation we find ourselves in is that much of the valuable knowledge stored in a document collection is trapped because it is not easily accessible. The problem is that retrieving knowledge stored in loose, unstructured document efficiently, quickly and accurately is difficult. All the time and effort spent collecting and organizing the information is in jeopardy.
